Useful Tips for Managing Scheduled Emails

When I first started using scheduled send in Outlook, I quickly realized that simply scheduling a message is only half the job. Keeping track of those messages and making sure they’re still accurate can save you from a lot of trouble later.

Here are a few habits that have genuinely helped me:

  1. Give your emails a quick review before they go out.
  2. A few hours before the scheduled time, I like to open my Outbox or Drafts folder and read through everything again. Spending just a couple of minutes checking links, attachments, and wording has saved me from sending outdated or incomplete messages more than once.

  3. Keep time zones in mind.
  4. When I’m writing to clients in different regions, I schedule messages to hit their inbox during their morning hours. If plans change, I just pop into Drafts, tweak the message, and reschedule so it still arrives at the perfect time.

  5. Use clear subject line notes while drafting.

If I’m working with several pending emails, I’ll add a short note in the subject line—something like “for outreach” or “campaign May.” Before sending, I remove the note, but while I’m managing those drafts, it makes it so much easier to see what’s what at a glance.

Troubleshooting Issues

If you’re running into trouble with your pending emails, here are a few common problems and explanations.

⚠️ My Outbox folder is empty but emails should be there

The Outbox is only used for scheduled emails in Outlook for Microsoft 365 or the 2021 and 2019 version. Check your Sent and Draft folders for the scheduled messages if you don’t see them in your Outbox.

⚠️ I can't find the Outbox folder

In certain versions of Outlook including that on Mac and mobile, you won’t see an Outbox folder if you’re online and emails are sending and receiving normally.

⚠️ My emails don't send at the scheduled time

You must have Outlook open in order for the pending emails to be sent at the date and time you choose. Once you reopen the application, the scheduled to be sent emails should send.
