Definition of the Archive Action
💡 The archive action in email providers means moving an email from your inbox to a special folder called “Archive.” This keeps your inbox clean without deleting the email, so you can find it later if needed. You can archive emails manually or set up automatic rules to do it for you.
This is what archiving looks like in Gmail:
Definition of the Archive Folder
💡 The Archive folder in a mailbox is a location used to hold messages you no longer need but don’t necessarily want to delete.
Example of automated archiving by Clean Email
To make the archive action effortless, you can automatically archive messages with Auto Clean in Clean Email. For instance, you can create an automation to archive emails based on age like those older than one month, one year, or 10 years. You can then access the Archive folder in the Clean Email menu if needed.
Why archive emails?
Archiving emails helps keep your inbox organized and clutter-free. By moving less important emails to the archive, you can focus on the messages that need immediate attention. Archiving also preserves emails for future reference, so you don't lose important information while maintaining a clean and manageable inbox.
Do archived emails appear when I perform a search in my Inbox?
Yes, archived emails typically appear when you perform a search in your email account. When you use the search function in most email providers, it searches across all your emails, including those in the archive. This means that even though the emails are not in your inbox, they are still searchable and retrievable.
Archive folder availability in different email providers
While the archive folder is available and works the same with most email service providers, there are exceptions to the rule.
If you use Microsoft Outlook, Yahoo Mail, and Apple Mail, you’ll find the Archive folder in the menu for the mailbox.
If you use Gmail, you’ll see an Archive button in the toolbar, but won’t see a matching label (folder) in the menu. Instead, you’ll find archived emails in All Mail or using Gmail’s Search function.
