💡 An automated email reply is a prewritten response that’s automatically sent out when someone fulfills a certain action. They’re typically used in customer service, helping businesses update or respond to customers promptly.
How does it work?
Aside from customer service, you can also automate email responses for the following situations:
- When you’re unavailable to respond to emails personally.
- To answer common inquiries.
- To provide confirmations for support requests or orders.
While auto replies are helpful in maintaining efficient communications, there are some cases when they shouldn’t be used. For instance, if you’re handling complex issues like complaints, it may be best to provide personalized attention to the matter.
Automated email replies have several types. These include:
- Confirmation messages: When a customer sends a message or a question via email, an automated email response lets them know that you’ve received their email.
- Technical support: When a customer sends a query asking for help, an automated response can give them access to resources like FAQs or a link to your help center to help them resolve their issues.
- Interrupted services: Automated emails regarding service interruptions let customers know what they can expect during this period, such as what actions you’ll be taking to solve the problem.
Automated email replies need triggers. These ensure that when someone meets your predefined conditions, an automated email will be sent. Common triggers include completing a purchase or creating a new account.
You’ll need to make email templates, use an automation tool, and define your workflows (email sequences). Before launching your automated responses, you need to test and then optimize them.
Gmail and Outlook allow you to enable auto-replies.
- For Gmail, you need to enable Templates in Settings first, then create auto-reply templates and load the needed template when composing a message.
- For Outlook, you need to navigate to the Settings menu and select View all Outlook settings. Click Mail → Automatic replies. Then enable this feature by toggling the switch beside it.
What happens if you reply to an automated email?
Automated emails are intended for informational purposes. They’re not designed to be replied to. While nothing bad will happen if you reply to an automated email, it’s likely that your message won’t be delivered. That’s because the sender hasn’t set up a dedicated inbox for replies to automated emails.
Several things can happen if you reply to automated emails, such as out-of-office auto-replies or no-reply emails.
- Your reply may go unnoticed.
- It will be returned to the sender.
- Your message will be recorded, but you may need to wait before interacting with a human agent.
