💡 Your storage quota is the amount of available space in your mailbox. When you receive an email, this uses up some of your mailbox’s quota.
Example
If you have a Google Account, you’ll get 15 GB of storage. This is shared across Google services like Gmail and Google Drive. If you frequently get emails with large attachments, these will likely take up a lot of storage space. If you also store a lot of files in Google Drive, such as high-quality photos or PDFs, then these will eat into your available storage.
What do you do if the email storage quota is exceeded?
When you’re over quota, you no longer have available space to accommodate new messages or files. If you’ve been over quota for two years or longer, Google may remove all of your content from its services (Google Docs, Google Photos, etc.). To go back under quota, you can:
- Download the files and transfer them to a personal storage device.
- Delete files from your cloud storage.
- You can also choose to pay for additional storage.
If you’re an Outlook user and you’ve exceeded your email storage quota, some Microsoft services may be affected. You might not be able to upload or sync new files. It’s also possible that you will no longer be able to send or receive emails and Microsoft Teams messages with attachments.
To avoid exceeding your storage quota, you can:
- Purchase additional storage.
- Delete files or folders.
- Free up storage on your OneDrive.
