💡 An inbox rule is a set of conditions applied to incoming emails. When the conditions are met, specified actions are applied automatically to help you manage and organize your inbox.

When inbox rules are set up correctly, they can significantly decrease the amount of time you spend on inbox management every day, reduce the likelihood of you accidentally opening a malicious message, and make it easier to notice new messages from important senders, among other things.

Common inbox rules

Here are some of the most commonly used inbox rules and brief explanations of their functions:

  • Mark as Spam: If there are any senders or perhaps subject lines you absolutely don't care about, then you can create an inbox rule to automatically mark their messages as spam.
  • Archive: You can also automatically move certain emails to the Archive folder. Good candidates for immediate archiving include promotional emails or replies to long email chains.
  • Trash: This inbox rule is handy for getting rid of persistent newsletters that you no longer want to receive but can't easily unsubscribe from because no such option is provided by the sender.
  • Flag: Are there any important people whose messages you absolutely don't want to miss? Then you can create an inbox rule to automatically flag them as important so they stand out even in a crowded inbox.
  • Send to a Folder: As the name suggests, this rule automatically moves emails to a designated folder when the rule's conditions are met.

Creating an inbox rule involves specifying the conditions under which certain actions should be taken automatically. For example, here's how to set up an inbox rule in Gmail:
