Advanced Searching in Clean Email

Using the search field at the top of Clean Email, you can find messages based on the subject lines, sender names, sender addresses, and recipient addresses.

In addition to basic words and phrases, you can use a variety of operators and keywords to narrow your search results.

Simply type the text you want to search for and press Enter.

Word and Phrase Searching

Search for this… …to find this:
Amy All inclusions of the word 'Amy' like:
  • Amy
  • Marie-Amy
  • Amylase
  • dreamy
Hello Ann Messages that include both the words 'Hello' and 'Ann' in any field, in any order. This will also find emails that include 'Hello' and 'Anna'.
Clean Email Review new screened senders Messages that include all of the words in the search text in any field, in any order, for example:
  • This would include messages with the string 'Review new screened senders in Clean Email'.
  • This would not include messages that include 'Clean Email Review new screened' but did not include the word 'senders'.

Searching for an Exact Match

When you need to find messages that contain an exact match for your search text, using double quotation marks can make all the difference. Check out these examples.

Search for this… …to find this:
"Ann" Messages with an exact match of the word 'Ann' but also 'Ann-Mary', 'Mary-Ann', and 'Mary-Ann-Louise.
  • Does not return messages that include the search text within longer text strings, like the word 'annually' or 'Anna'.
"Dinner Tomorrow" Messages that include the exact phrase ‘Dinner Tomorrow’ in the subject or the sender name.
  • Does not return messages whose subject or sender name includes the words in a different sequence, such as "Tomorrow Dinner".
  • Does not return messages whose subject or sender name includes other letters, numbers, or words between the search terms, such as "Dinner for Tomorrow".
  • Since email addresses cannot include a space, there cannot be matching sender addresses or recipient addresses.
"Set a Meeting" "Attend today" Messages that include both exact phrases in the subject or sender name.
"" Messages that include at least one blank or empty field among the following fields:
  • Subject
  • Sender name
  • Sender email address
  • Recipient
" " Messages that include a blank space that is not inside a word. For example:
  • Messages that include a string such as ‘# !’.
  • Messages that include multiple spaces in a row.

Scope Operators/Fields

Using scope operators, you can search for text in specific fields.

FROM
Search for this… …to find this:
from:"Maria" Messages that include an exact match of the word 'Maria' in the sender name or sender email address.
  • Does not search messages’ subjects or recipients.
  • Does not return messages that include the search text within longer text strings, like the word ‘Marianne’.
from:"Maria Callas" Messages that include an exact match of the string ‘Maria Callas’ in the sender name or subject.
  • Does not return messages whose subject or sender name includes the words in a different sequence, like ‘Callas Maria’.
  • Does not return messages whose subject or sender name includes other letters, numbers, or words between the search terms, like "Maria Jane Callas".
  • Since email addresses cannot include spaces, there cannot be matching sender addresses or recipient addresses.
from:"followups@clean.email" Messages that include an exact match of the string 'followups@clean.email' in the sender name or sender address.
from:me Messages sent from your email address.
from:Amy Messages that include the word ‘Amy’ and its variations, like ‘Amy’, ‘Marie-Amy’, ‘amylase’, ‘dreamy’, etc. in the sender name or sender address.
  • Does not search messages’ subjects or recipient addresses.
  • Try searching for from:"Amy" to receive more accurate results.
from:Maria Callas Messages whose sender name or sender address includes the string ‘Maria’ AND all messages that include the word 'Callas' in the subject, sender name, sender address, or recipient address.
  • Try searching for from: "Maria Callas" to receive more accurate results.

TO
Search for this… …to find this:
to:"Maria" Messages that include an exact match of the word 'Maria' in the recipient's email address.
  • Does not include messages with a recipient address that contains a string such as "Marianne"
  • Does not search messages’ sender addresses, sender names, or subjects.
to:"followups@clean.email" Messages that include an exact match of the string 'followups@clean.email' in the recipient's email address.
  • Does not search messages’ sender addresses, sender names, or subjects.
to:me Messages sent to your email address.
  • This means the email address for which you are currently logged in to Clean Email. This address is displayed at the top of the left-hand navigation pane.
  • Does not include messages CC’d to your address. To find those messages, please see CC below.
to:Amy Messages that include the word 'Amy' like Amy, Marie.Amy, amylase, or dreamy in the recipient's email address.
  • Does not search the sender’s name, sender’s email address, or subject.
  • Try searching for to:"Amy" to receive more accurate results.

CC
Search for this… …to find this:
cc:"Maria" Messages that include an exact match of the word 'Maria' in the CC addresses.
  • Does not search the sender’s name, sender’s address, or subject.
cc:"followups@clean.email" Messages CC’d to the address 'followups@clean.email'.
  • Does not search the sender’s name, sender’s address, recipient’s address, or subject.
cc:me Messages CC’d to your email address.
  • This means the email address for which you are currently logged in to Clean Email. The address is displayed at the top of the left-hand navigation pane.
cc:Amy Messages that include variations of 'Amy' such as Amy, amylase, or dreamy in the cc email address.
  • Does not search the sender’s name, sender’s address, or subject.
  • Try searching for cc:"Amy" to receive more accurate results.

SUBJECT
Search for this… …to find this:
subject:"Meeting Tomorrow" Messages with a subject that contains the exact phrase 'Meeting Tomorrow'.
  • Includes messages with the exact phrase surrounded by other text, such as fwd:Meeting Tomorrow at 11am’.
  • Does not search the sender’s address, sender’s name, or recipient’s address.
subject:Meet Messages with a subject that include the word ‘Meet’.
  • For example, messages with the subject 'fwd:Meeting Tomorrow at 11am' or 'Join Google Meet'.
  • Does not search the sender’s address, sender’s name, or recipient’s address.
  • Try using subject:"Meet" to receive more accurate results.
subject:"" Messages with an empty or blank subject.

LABEL

Note: You can also use IN in place of LABEL for any of these examples, e.g., IN:"Read Later"

label:"Read Later" Messages with the 'Read Later' label.
label:"Documents/Receipts/Grocery" Messages with the 'Grocery' label, which is a sub-label for the labels 'Documents' and 'Receipts'.
label:Grocery Messages with a label that includes 'Grocery'.
  • For example, messages with the labels 'Documents/Receipts/Grocery' or 'Grocery lists'.
  • Try using label:"Grocery" to receive more accurate results.
label:draft Messages with the label 'draft'.
  • Includes messages with the label ‘drafts’ or ‘draft messages’
label:"" Messages with no label.

IS
Search for this… …to find this:
is:list or is:subscription Messages sent via a mailing list.
  • This is equivalent to the filter Sent by Mailing list.
is:automated Messages sent by automated systems.
  • This is equivalent to the filter Sent by Automated system.
is:people Messages sent by people.
  • This is equivalent to the filter Sent by People.
is:unread Unread messages.
  • This is equivalent to the filter Unread.
is:read Messages that have been marked as read.
  • This is equivalent to the filter Read.
is:starred Starred or flagged messages.
  • This is equivalent to the filter Flagged.
is:archived Archived messages.
  • This is equivalent to the filter In Archive.

HAS
Search for this… …to find this:
has:labels Messages with labels. When used by itself, this search will return all messages with any label. You can combine this with other search criteria to narrow things down.
  • For example, searching for has:label Maria finds all messages that have a label and include the word 'Maria' in the subject, sender name, sender address,or recipient address.

RECEIVED DATE OPERATORS
Search for this… …to find this:
AFTER:
BEFORE:
NEWER:
OLDER:
Messages received within a specific period of time.
Available formats:
  • YYYY/MM/DD, MM/DD/YYYY, or YYYY.
  • d,day,w,week,m,month,y,year.

Logical Operators

Using logical operators, you can combine more than one search term to further narrow the results in a single search.

AND

The word 'and' (in any case) is reserved for use as a logical operator. If you need to search for messages that include the word 'and', search using double quotation marks, like this: "and".

Search for this… …to find this:
Hello AND Goodbye Messages that include both the words 'Hello' AND 'Goodbye'.
from:"Lisa" AND is:unread AND "Dinner Tomorrow" Messages that match the exact word 'Lisa' in the sender name or sender address, are unread, and contain the phrase 'Dinner Tomorrow'.

OR

Like the word 'and', the word 'or' (in any case) is reserved for use as a logical operator. If you need to search for messages that include the word or, search using double quotation marks, like this: "or".

Search for this… …to find this:
subject:"Set a Meeting" OR subject:"Attend Today" Messages that have at least one of these phrases in the subject. For example:
  • Messages with the subject 'Set a Meeting'.
  • Messages with the subject 'Attend today'.
  • Messages with the subject 'Set a Meeting for noon and attend today'.

Group Search

Using parentheses (), you can group multiple search terms together at once. Clean Email treats the terms as if you had entered the AND operator between each one.

Note: Parentheses () and curly braces {} can only be used when searching the FROM, TO, SUBJECT, and CC operators.

They are reserved characters, meaning that they cannot be mixed with other characters when searching. For example, muscle car(s) is not a valid search because ( and ) are reserved characters.

Search for this… …to find this:
("Dinner with John" newer:1week) Messages that include the exact phrase 'Dinner with John' that are newer than one week old.
  • This is equivalent to searching for "Dinner with John" AND newer:1week.
(to:me in:Inbox is:read) Messages marked as read that have been sent to me and have the label 'Inbox'.
  • This is equivalent to searching for to:me AND in:Inbox AND is:read.
subject:("Dinner" "Attend" "Meet") Messages that contain all three of the words 'Dinner', 'Attend', and 'Meet' in the subject.
  • This is equivalent to searching for subject:"Dinner" AND subject:"Attend" AND subject:"Meet".

You can also use curly braces {}, to group multiple search terms together at once. Clean Email treats the terms as if you had entered the OR operator between each one.

{"Liss" "Alice"} Messages that contain an exact match to the word 'Liss' or 'Alice'.
  • This is equivalent to searching for "Liss" OR "Alice".
("Dinner with John" newer:1week) {from:@clean.email "Liss" "Alice"} Messages that contain the exact phrase 'Dinner with John', sent within a week, and contain 'Liss' or 'Alice' or have a sender address that contains '@clean.email', such as 'alice@clean.email'.
  • This is equivalent to searching for "Dinner with John" AND newer:1w AND (from:@clean.email OR "Liss" OR "Alice")
from:{"Liss" "Alice"} Messages that contain the exact word 'Liss' or the exact word 'Alice' in the sender name or sender address.
  • This is equivalent to search for from:"Liss" OR from:"Alice"

Note: label:{"Inbox" "Read Later"} is an example of an invalid search. It will not work because curly braces {} can only be used to search FROM, TO, SUBJECT, or CC–not label:.

Negated Search

You can use the hyphen or dash character to exclude messages that contain something from search results. If you need to search for the actual hyphen character itself, use exact match searching with double quotation marks. For example, instead of -20°, use "-20°".

Search for this… …to find this:
-"tomorrow" Messages that do not contain an exact match for the word 'tomorrow'.
-"Set a Meeting" Messages that do not contain the phrase 'Set a Meeting'.
-to:me Messages for which your email address is in cc or bcc and not in to.
-label:"Inbox" Messages that do not have the 'Inbox' label.
("Set a Meeting" -daily) Messages that include an exact match of the phrase 'Set a Meeting' but do not contain the word 'daily' or variations of that word.
-{"Jira" "automated" in:"Work" } Messages that do not contain the words 'Jira' or 'Automated' and do not have the label 'Work'.
  • In this example, everything between the curly braces {} is excluded from results.

Caution: Do not use negated search with a single word or operator when configuring Auto Clean rules, because every single message that does NOT include that word will be affected. Instead, add more conditions to the search query.

Reserved Characters

The following characters are reserved for use in search functions such as grouping and negated search:

With the exception of ", you can still search for these specific characters using exact matching.

For example, to find messages with an open parenthesis ( in the subject, subject:( will not work because ( is a reserved character. However, you could search for subject:"(".
