Managing iCloud Mail Storage
Dive deeper into managing iCloud Mail storage limits, tips for troubleshooting issues, and efficient ways to free up space when you’re running low.
📌 What is iCloud mailbox size?
The iCloud mailbox size is part of your overall iCloud storage plan. This means the total size of emails, including attachments, counts toward your iCloud storage limit.
📌 What is the iCloud email storage limit?
The iCloud email storage limit depends on the overall iCloud storage plan you have. For example, with 5GB of free storage, your messages and attachments share that space with your backups, photos, videos, and other data.
📌 Does mail take up iCloud storage?
Yes! And if your iCloud storage is full, you may not be able to send or receive emails through your iCloud Mail account until you free up space.
📌 Why isn’t my iCloud email working?
If iCloud Mail isn't working, it could be due to reaching your storage limit, network issues, or incorrect settings. Freeing up storage and double-checking your mail settings can help resolve this.
📌 How to check iCloud Mail when storage is full?
When your storage is full, you may have trouble receiving iCloud emails. To regain space, delete large emails, attachments, and old messages via iCloud.com or using the Apple Mail app. Alternatively, you can use Clean Email to delete iCloud emails in bulk, helping you quickly and easily regain storage space.
Clean Email: The Ultimate Tool for Cleaning iCloud Mail Storage
If you’re working to clean out your iCloud Mail, you may not have much time before that storage is full and you can no longer send or receive messages. And if you have a lot of email data, the pressure is on to free up space fast.
Clean Email provides a robust feature set with powerful tools to not only speed up the process but also simplify it at the same time.
Why use Clean Email instead of iCloud’s native tools
You probably already know that iCloud Mail has features to help you sort and clear out your mailbox. Unfortunately, the feature set lacks in a few areas and differs per device. This is where Clean Email can make a difference between a quick cleaning and a time-consuming one.
✅ Automated Cleanup: While you can use a few different filters to find emails with iCloud Mail, you can take advantage of advanced and automated tools with Clean Email. These tools help you filter, sort, and delete large quantities of messages at once.
✅ Bulk Deletion: You can easily remove multiple messages at once to free up iCloud storage space fast. Whether you filter and sort or use the Smart Folders, you can then use the selection tools to delete multiple emails, or even all of them in one fell swoop.
✅ Cross-Platform Support: You can use all Clean Email features on any device including your Mac desktop, the web, and your iPhone. There aren’t limited options for what you can do and where like with iCloud Mail. Plus, any actions you take or automations you create sync seamlessly across your devices.
✅ Advanced Filtering: Unlike iCloud Mail, you can use advanced filters to locate and organize emails by criteria like type, size, age, or sender. And you can combine filters to find things like old and large messages at the same time.
Key Clean Email tools for iCloud Mail storage cleaning
To accompany the above features that go above and beyond what iCloud Mail offers, Clean Email provides powerful tools for cleaning out your mailbox and keeping it tidy moving forward. So not only can you free up space in a hurry, but keep your iCloud storage under control long-term.
Unsubscriber tool
Removing yourself from mailing lists is one of the fastest ways to reclaim storage space because you’ll no longer receive those unimportant or nonessential messages. With Unsubscriber, you can unsubscribe from multiple emails at once, freeing up space in just minutes.

How to Remove Mail From iCloud Storage With Clean Email
Along with the above, you can take advantage of additional Clean Email tools for quickly removing messages and freeing up space. The types of emails below can be big storage space hogs and often go unnoticed when it comes to mailbox cleanup.
Open Clean Email on your Mac or iPhone and look for the following:
Check Large Mail
Do you take care of your hefty messages by deleting outdated ones or removing the attachments? Large emails can consume a lot of storage space, and if you no longer need them then it’s time to check for those you can remove.
- Expand Favorites in the menu and pick Large Mail or choose Inbox or a Smart Folder and pick Large Mail at the top.
- Select the Larger Than size using the drop-down list and you’ll see all matching emails.
- Optionally, use the drop-down box to sort by total size from large to small.
You can then look through your large messages for those you can delete.
Review Old Messages
How long do you keep emails? Do you have messages from three years ago or even five or ten? By reviewing old emails, you may find many that you no longer need and can delete to free up storage space.
- Expand Favorites in the menu and pick Old Mail or choose Inbox or a Smart Folder and pick Old Mail at the top.
- Select the Older Than age using the drop-down list and you’ll see all matching emails.
- Optionally, use the drop-down box to sort by age from oldest to newest.
You can then look through your older messages for those you can move to Trash or Delete permanently.
Focus on Smart Folders for unimportant emails
Do you have piles of unnecessary or out-of-date messages for food delivery, seasonal sales, ride sharing, or travel? These comprise another type of email that consumes more storage than needed — the nonessential.
Expand Smart Folders in the menu and choose a folder to check the related messages within it. You can then quickly and easily mass delete iCloud emails you no longer need.
How to Clean Out iCloud Email Storage on Desktop (Mac)
If you want to perform an iCloud Mail clean up on your desktop, the best thing to do is remove the hefty emails that use the most iCloud storage space.
Delete Large Emails on Mac
In the Mail app on Mac, you can sort by size and delete the largest messages.
- Open the Mail app and choose iCloud if you have multiple mailboxes.
- Go to View → Sort By in the menu bar and pick Size.
- Return to View → Sort By and pick Largest Message on Top.
- To show the sizes, go to View → Show Message Size. You’ll then be able to view the size of each message under the date it was sent.
- Select the messages you want to remove, and pick Delete at the top.
If you prefer to use iCloud Mail on the web, you can delete emails there, of course. However, you cannot sort by size, see the email sizes, or change the view to add a size column.
Why Clean Email is Better
With the Clean Email app on your desktop or the web, you can find and delete large iCloud emails much easier and without changing your preferred view. Plus, Clean Email solves the lack of sorting with iCloud Mail on the web too!
Earlier, we explained how to check large mail, but here’s a quick review:
- Open Clean Email, expand Favorites in the menu, and pick Large Mail or choose a location and select Large Mail at the top.
- Select the Larger Than size using the drop-down list.
- Pick Select and mark the messages or use Select All.
- Click Trash or Delete at the bottom.
⚠️ Warning: The Delete action permanently removes the emails which helps you regain iCloud storage space. However, if you want the ability to recover deleted iCloud messages, select Trash instead of Delete.
Move or Copy Emails From iCloud to Mac
One more option for freeing up iCloud Mail storage space using the desktop app is to move those emails to a new mailbox on your Mac. By moving and storing the emails on your computer, you’ll regain iCloud storage space.
- Open Mail and choose Mailbox → New Mailbox in the menu bar.
- Beside Location, pick On My Mac.
- Name the new mailbox and click OK.
- Go to your iCloud inbox in the menu and select the emails you want to move.
- Drag the messages to the new mailbox or use Message → Move to → [new mailbox] in the menu bar.
💡 Note: If you want to copy emails instead of moving them, hold the Option key as you drag or use Message → Copy to → [new mailbox]. Just know that copying the messages won’t free up any iCloud storage space; it merely duplicates the emails.
How to Clear iCloud Email Storage on Mobile (iOS)
If you prefer to manage emails on mobile, you can take a few steps to reduce iCloud mail storage in the Mail app, or even better, the Clean Email app on iPhone.
Delete Mail From iCloud Storage on iPhone
You can delete large iCloud emails in the Mail app on iOS. The difference from the desktop app is that you can’t sort by size. As an alternative, you can use a filter to find messages with attachments which are commonly larger than ordinary text emails.
- Open the Mail app and choose iCloud if you have multiple mailboxes.
- Tap the Filter button at the bottom to enable filters.
- Select Unread below Filtered by at the bottom.
- Choose Only Mail with Attachments.
- Uncheck Unread and tap Done. You’ll then see only those iCloud emails with documents, photos, or other files attached.
- Tap Edit at the top and mark the messages.
- Choose Trash at the bottom.
Why Clean Email’s iOS App is Better
Because you can use the same Clean Email features on your iPhone or iPad as on the web or your desktop, you can find and delete large emails the exact same way as in the desktop app above. That’s four steps compared to seven!
And as mentioned earlier, Clean Email’s features, options, and tools offer more advanced cleanup ability and mailbox management compared to iCloud Mail.
